Job Description
Dobbs Defense Solutions is seeking proactive and detail-oriented Executive Assistant to support our executive leadership team and contribute to the efficient running of our operations. The ideal candidate will have mid-level experience in executive support, preferably with prior military experience in an executive administrative role. This role will primarily be onsite with some hybrid flexibility and requires the ability to manage personal tasks for executives, demonstrating professionalism, discretion, organizational skills, and flexibility to travel when needed.
Duties
- Manage the executive leadership team's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
- Serve as a primary point of contract for internal and external stakeholders on behalf of the executive leadership.
- Draft review and edit correspondence, reports, presentations, and other documents.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff.
- Maintain organized filing systems (physical and electronic), ensuring timely updates and ease of access.
- Assist in managing relationships with key clients, vendors and partners.
- Handle inquiries and requests, providing information or redirecting as appropriate.
- Prepare meeting agendas, take notes, and track action items for follow up.
- Conduct research and gather information to support projects and decision-making.
Qualifications
Required education and experience:
- High school diploma or equivalent; some college coursework preferred.
- 3-5 years of proven experience as an Executive Assistant or in a similar role.
- Prior military experience in an executive administrative role is strongly preferred.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional attention to detail and ability to multitask in a fast-paced environment.
- Ability and willingness to travel as needed to support executive leadership at events and meetings.
- Experience handling confidential and personal matters discretion.
- Professional, friendly demeanor with a proactive attitude toward problem-solving.
